There is an option is available for CASH PAYOUTS so you can attach a receipt for non inventory cash purchases. Just click on the … button as shown below when you are in "A/P" entry in Daily Reconciliation.
Receipts Daily Recon- Expense Paid Outs & Vendor Paid Outs
For a Vendor Paid Outs where you purchased items you sell in your store, you need to create a new Non-Fuel Invoice. Do this by clicking on the on Non-Fuel Invoices at the top of Daily Recon page.
If no invoices exist for that day, a window will prompt you to enter a new invoice, click ‘Yes’ then enter the invoice as usual. If you do have invoices in the system for the day, they will appear, simply click on the “create new record”. Again, enter the invoice details as usual, either by SKU or by Dept, using the appropriate tab in the invoice.
NOTE: When entering VENDOR paid outs you MUST use the same receipt name as in your receipts list on the Daily Recon page.
Paid Outs for Expenses can just be entered under the A/P button shown below:
If you already have accounts payable entered, the list will come up listed by station for the date currently selected. Expand the data to view all by clicking on the plus (+) sign. Click on the edit button () in order to change or add a record then click on the save button.
If you do not have any created for this day, the following window will appear. Click ‘Yes’ to enter a new account payable. Enter in the detail, making sure you select the same Receipt Type that appears in your receipt list for the Paid Out.
Receipts- Reconciling Paid Outs
There is a new function under Receipts in Daily Recon that tells you if your total Paid Out Value EQUALS your total Paid Out detail of A/P Cash payouts PLUS your NON-FUEL INVOICES that have Paid Outs Value as payment method. “OK Reconciled” means you are balanced, IF there is a dollar amount there, it means you are OUT OF BALANCE BY THAT AMOUNT!!
